Multi-Site Commercial Cleaning Across Canada

Multi-site commercial cleaning means one cleaning company, one written scope and one point of contact across several buildings, including buildings in different cities. It suits businesses with branches, stores, clinics, warehouses or offices that now manage a separate cleaner at each address.

Here is when one vendor makes sense, what should stay identical at every site, and how to set up the contract.

What is multi-site commercial cleaning?

It is a single agreement that covers all your locations. Each site keeps its own schedule and price, but the standards, reporting and invoicing follow one template.

Without it, a regional manager ends up holding five or ten separate relationships. Each cleaner uses a different checklist, a different invoice and a different way of reporting problems.

When does one cleaning vendor make sense?

It makes sense when you run three or more sites and want the same standard at each. It also helps when a head office has to approve cleaning spend, or when branch managers spend time chasing cleaners instead of running the branch.

Two sites with very different work are a weaker fit. A specialty clinic and a storage warehouse can still share a vendor, but their scopes will have little in common, so say that up front.

What stays the same at every site?

Four things should match across locations:

  • Scope template: areas, tasks and frequencies in the same format
  • Inspection and reporting method
  • Escalation path when a task is missed
  • Invoicing, as one statement or a clear per-site breakdown

Matching these makes sites comparable. If one location keeps getting missed-task reports, you can see it in the same format as the others.

What changes from site to site?

The work itself changes. A downtown office is cleaned at night in a building with its own access rules. A retail unit may need early morning visits before opening. Warehouse floors get scrubbed with a ride-on machine. Sites in colder cities need entrance mat cleaning and salt-stain removal through winter.

Ask the vendor to quote each site on its own facts: floor type, washroom count, hours and building rules. A flat price per square foot across locations hides those differences.

How do you set up a multi-site cleaning contract?

  1. List every location with its address, floor area, operating hours and building type.
  2. Ask the vendor for a free site assessment at each site that needs one.
  3. Agree the shared scope template, then fill in the details per site.
  4. Name one contact at your end and one at the vendor’s end.
  5. Decide how often you review results, and who gets the report.

Start with a few sites if that is easier. Adding a location to an existing agreement is simpler than rewriting it.

What should you ask a national cleaning company?

  • Who cleans my site, and how do I reach that team directly?
  • Do you have a local office or desk in each of my cities?
  • How is the same scope enforced at every site?
  • Can sites have different schedules and add-ons?
  • How do you handle an emergency visit at one location?

A company that answers “head office will get back to you” for each of these is hard to manage across sites. Look for named contacts and local phone numbers.

Frequently asked questions

Do I need one contract for all my sites? No. You can run one master agreement with a schedule for each site, or separate agreements that share the same scope template. The first is easier to administer.

Can each site have its own cleaning schedule? Yes. Hours, frequency and extras are set per site. A shop can be cleaned before opening while an office is cleaned at night.

How do I get a quote for several locations? Send the addresses, floor areas and preferred cleaning times. We book a free site assessment where needed, and send a written quote within 1 business day of having what we need.

Does multi-site cleaning cost less? Not automatically. Price follows the work at each site. What you save is management time: one scope format, one contact and one invoice.

If you manage more than one building, get a free quote and list your locations in the form. For a single building, see commercial building cleaning. Before you compare vendors, our guide to choosing a commercial cleaning company has the checks that apply to every site.

These notes sit next to a quotation.

A field note is what we saw after hours. The quotation is the building that still needs a crew. If this post sounds like desks and carpets, start with office cleaning. Licensed childcare after pickup is daycare cleaning. K-12 after last bell is school cleaning. Campuses sit on college cleaning. Public buildings sit on government building cleaning. Docks and aisles sit on warehouse cleaning. Houses of worship sit on religious facility cleaning.

The rest of the list lives on Services. City pages live under Locations. More notes sit on the blog. If you want someone on the floor, book a free consultation.
